Overview
This page explains how RUQN (“RUQN,” “we,” “us”) processes data when you and your team use our products and services (the “Services”). For the content your team adds to a workspace, you act as the data controller and RUQN acts as a data processor: we process that content only to provide the Services, on your instructions, and never sell it. This page should be read together with our Privacy Policy and our security overview.
What data we process
- Workspace content. Projects, tasks, boards, leads, deals, messages, meeting records, files, and other content you and your team create in RUQN.
- Account data. Names, email addresses, roles, and workspace membership needed to operate accounts and permissions.
- Service data. Log, device, and usage information generated by the operation of the Services, used for security, reliability, and product improvement.
- Integration data. When you connect tools such as Google Calendar, Google Meet, Zoom, or Microsoft Teams, we process the meeting and calendar details needed to show and link that information inside your workspace. We request the minimum scopes required, and you can disconnect an integration at any time.
Purposes of processing
- Providing, operating, and securing the Services;
- Authenticating users and enforcing workspace roles and permissions;
- Powering features you invoke, such as search, notifications, meetings, and RUQN AI (which acts only on data your permissions already allow you to access);
- Producing aggregate, de-identified statistics to improve reliability and performance;
- Meeting our legal obligations.
Where data is stored
RUQN is hosted with established cloud infrastructure providers. Data is encrypted in transit, and access to production systems is restricted to authorized personnel on a least-privilege basis. Workspace permissions are enforced on the server, not just hidden in the interface.
Subprocessors
We use a small number of service providers (subprocessors) to run the Services, limited to categories such as cloud hosting, email delivery, and payment processing. Each subprocessor is bound by contractual obligations that protect your data and limit its use to providing the relevant service. You can request the current list of subprocessors at any time via our contact page.
International transfers
Where data is transferred across borders, we rely on appropriate safeguards such as contractual data protection commitments with our providers, in line with applicable data protection law, including the GDPR where it applies to you.
Retention and deletion
- Workspace content remains available while your account is active and is deleted or de-identified after account closure, subject to a limited backup window;
- You can delete individual items, boards, or records inside the product at any time;
- We retain only what we need to comply with legal, accounting, or reporting obligations.
Assisting with data subject requests
If someone exercises their data protection rights (access, correction, deletion, portability, or objection) regarding data in your workspace, we provide the tools and assistance you reasonably need to respond, consistent with your role as controller.
Your responsibilities
As the controller of your workspace content, you are responsible for having a lawful basis for the data you and your team add to RUQN, for configuring roles and permissions appropriately, and for responding to requests from your own users and customers.
Changes to this page
We may update this page as the Services evolve. Material changes will be reflected in the date above, and significant changes will be communicated through the Services or by email.
